Key responsibilities
Managing executive calendars, scheduling meetings, and coordinating appointments with internal and external stakeholders
Preparing and organising meeting agendas, taking minutes, and distributing comprehensive documentation to relevant parties
Composing, editing and proofreading professional correspondence, reports and presentations on behalf of senior management
Handling incoming and outgoing communications, including telephone calls, emails and visitor management
Coordinating travel arrangements, including flights, accommodation and ground transportation for executives
Maintaining organised filing systems, both digital and physical, ensuring confidential documents are stored securely
Preparing expense reports and managing administrative budgets with accuracy and attention to detail
Acting as a liaison between senior management and other departments, facilitating effective communication and collaboration
Supporting the planning and execution of corporate events, presentations and special projects
Maintaining confidentiality and exercising discretion when handling sensitive information
What we're looking for
3-5 years of proven experience as an Executive Secretary, Personal Assistant or similar senior administrative role
Exceptional organisational and time management skills, with the ability to prioritise multiple tasks and meet tight deadlines
Outstanding written and verbal communication skills in English and Indonesian, with impeccable attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling and management software
Strong discretion and professionalism when handling confidential and sensitive information
Excellent interpersonal skills with the ability to work effectively with individuals at all levels of the organisation
Proactive approach with the ability to anticipate needs and work independently with minimal supervision
Professional demeanour with a calm, composed approach to high-pressure environments
Familiarity with industrial estate operations or corporate environments is preferred
Advanced knowledge of business etiquette and protocol
