Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate will manage complex calendars, coordinate meetings and travel, handle confidential information with discretion, and ensure the executive's daily operations run efficiently. This role requires exceptional communication, time management, and problem-solving skills.
Key Responsibilities
- Manage executive calendars, appointments, and scheduling.
- Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting.
- Prepare meeting agendas, presentations, reports, and correspondence.
- Screen phone calls, emails, and other communications, prioritizing responses as needed.
- Organize and coordinate internal and external meetings, including logistics and meeting materials.
- Take meeting minutes and track follow-up action items.
- Maintain confidential files, records, and sensitive information.
- Assist with special projects, research, and event planning.
- Coordinate with internal departments and external stakeholders to ensure timely completion of tasks.
- Monitor deadlines and proactively anticipate executive needs.
- Process invoices, purchase orders, and expense reimbursements.
- Support office operations and administrative processes as required.
Qualifications
- Bachelor's degree preferred or equivalent work experience.
- 3–7+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational, multitasking, and project management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- High attention to detail and accuracy.
- Strong interpersonal skills and the ability to work with stakeholders at all levels.
- Ability to work independently and adapt in a fast-paced environment.
