OFFICE ADMIN (MOTORPOOL)
The Motorpool Staff assists in the day-to-day operations of the company’s motorpool. This includes coordinating vehicle dispatch, monitoring maintenance schedules, maintaining accurate records, and supporting drivers and mechanics to ensure the smooth and efficient use of all company vehicles.
JOB SUMMARY
Prepares, organizes, and safekeeps all paperwork related to the movement of items, particularly parts, ensuring accurate inventory data or records for both physical and electronic copies within the Motor Pool Department. Create all necessary documents vital to internal processes and external audit. Send regular reports relative thereto.

I. Document Creation and Management
? Create documents vital to internal processes and audit of Motor Pool for external use. This includes but is not limited to Business Continuity Plan, and Risk Management tied NEPC Local Audit.
II. Data Entry, Monitoring, and Safekeeping
? Manages all the electronic documentations from daily to weekly to monthly monitoring.
? Encoding the physical copies of receipts, including delivery receipts and fuel/diesel receipts to create electronic copies for easy inventory and/or monitoring.
? Daily monitoring re: releasing of outgoing spare parts and receiving deliveries of incoming spare parts.
? Ensure all data are properly handled, encoded, monitored, and filed accordingly for safekeeping and easy retrieval of historical data and summary thereof.
III. Reporting
? Sending a report on weekly and monthly inventory to _______.
? Sending a weekly report on GPS and Dashcam Maintenance to Department Managers, with due recommendations based on checking done.
? Sending IRs to HR on Irregularities encountered.
Do other tasks as may be assigned by the Supervisor from time to time.
QUALIFICATIONS
Education: Bachelor of science in Office administration or any related
Experience: with relevant experience
Skills: Microsoft Office Apps, Google platforms
Attributes: Accuracy, trustworthiness, good listener, has initiative to do tasks, multitasking and can work under pressure
