The Procurement Associate supports both purchasing and planning functions by ensuring timely sourcing, replenishment, and availability of company requirements. The role is responsible for supplier coordination, purchase order processing, inventory monitoring, and planning support to maintain stock availability while balancing cost efficiency and operational requirements. The position works closely with suppliers, warehouse, finance and sales to support smooth day-to-day supply chain operations.
Primary Responsibilities:
- Source suppliers and request quotations based on approved purchase requirements.
- Evaluate supplier proposals based on pricing, lead time, and availability.
- Prepare and process purchase orders and monitor status until delivery completion.
- Coordinate with suppliers regarding production schedules, dispatch, delivery timelines, and urgent requirements.
- Maintain supplier database, price lists, and procurement records.
- Assist in supplier accreditation, performance review, and cost-saving initiatives.
- Monitor inventory levels of trade and non-trade items and identify replenishment requirements.
- Assist in demand and supply planning based on forecast, stock movement, and business requirements.
- Review stock coverage, reorder points, and lead times to support inventory availability.
- Coordinate replenishment requirements with suppliers and warehouse based on planned demand.
- Monitor back orders, critical stocks, and delivery timeliness to avoid stock outs.
- Assist in inventory count activities, stock reconciliation, and inventory reporting.
- Support planning for new product launches, promotions, and seasonal requirements.
- Coordinate with Warehouse, Finance, Sales, and Operations regarding purchasing and supply concerns.
- Ensure timely submission and completeness of procurement documents for payment and receiving requirements.
- Prepare procurement and inventory reports, trackers, and supplier updates as required.
- Perform procurement and planning-related duties assigned by management.
Qualifications Skills:
- Bachelor's degree in Industrial Engineering, Supply Chain Management, Business Administration, or any related field.
- 1-2 years experience in procurement, purchasing, supply planning, inventory planning, or supply chain operations.
- Knowledge in sourcing, supplier coordination, purchase order processing, inventory monitoring, and replenishment planning.
- Familiarity with demand planning, inventory analysis, reorder points, and stock coverage monitoring is an advantage.
- Proficient in Microsoft Excel; ERP/ NetSuite experience is preferred.
- Strong negotiation, communication, coordination, and vendor management skills.
- Detail oriented and able to manage multiple priorities in a fast-paced environment.
- Knowledge of procurement documentation including quotations, purchase order, delivery receipts, invoices, and supplier accreditation.
- Experience collaborations with suppliers, warehouses, and cross-functional teams is an advantage.
