About The Role
We are looking for highly motivated individuals to join our professional estates management team dedicated to our client in the Financial Institution industry in Indonesia. You will work closely and report to the Lead of the Account in managing the client’s portfolio, development the client service level and provide transactional and operational excellence to the account.
What You’ll Do
Act as the landlord’s authorized representative in meetings with other landlords of the bank’s owned assets
Attend Owner Association (OA) landlord’s meeting
Communicate the agenda of the meetings and seek the specialist assistance on certain matter such as FM, Procurement, Corp Security and others
Seek necessary approvals from the bank based on the request from the OA’s meetings
Supervise day-to-day property operations including maintenance, parking, invoicing, payment (including accrual), etc.
To work with procurement team and respective building management team on the procurement process and tendering of the vendor contract including sourcing, assessment, appointment, DD process, legal contract, negotiation, approval and signing
Ensure the operation issues are resolved by the relevant function
Ad hoc activities such as trash bin area relocation, Friday Prayer Cost Approval
Issuance of work permits and payment of relevant property tax
Special project like MRT Tunnel – oversee the progress of the project and escalate any potential delay or issue while working with the relevant project team
Property insurance – including assets for both IT and non-IT which will need to be collated from FM and IT
Act as a supporting role to the bank in related dispute with third party
Conduct workplace assessments, surveys, and utilization studies ie. Who sits where, demarcation and charges.
Be the point of contact of any business request on use, change or drop of space
Demarcation and calculation of area based on business usage
Apportionment of cost to each business on their cost centers
Submit and report monthly usage by businesses to Finance for internal recharge for HO and all branches
Monitor layout changes and translate it into AutoCAD based on actual condition
What You’ll Need
Candidates must be comfortable starting on a 1-year renewable contract, with the potential for conversion to a permanent role subject to performance
Qualifications in Property Management, Real Estate, Facility Management or related discipline is desirable with more than 5 years of relevant transactional and/or operational experience
Good interpersonal skills with positive attitude
Good leadership quality and people management skill
Strong communication and analytical skills (both verbal and written), with the ability to respond effectively to sensitive issues
Ability to ensure availability and responsive to client’s, landlord’s, and management’s requests or queries on a timely basis
Proactively managing customer relationships
Fluency in English and local language
Ability to work independently with minimal supervision in addition to being a team player
Proactive self-starter with a curious mind set to bring positive change to the team
Presents solutions to problems, escalating in a timely manner where necessary.
Client centric mind set and driving Customer Service Levels
Strong negotiation skills with good attention to details
Good time management and multitasking skills, (1) able to work with accuracy under pressure and meet deadlines and (2) start to show understanding on how to manage concurrent tasks in parallel and prioritise accordingly
Good analytical skills - qualitative and quantitative with reasonable presentation skills
Skilled in Microsoft excel and other Microsoft office tools
Sensitive to cross-cultural exposures
