Mice & Group Quotation Travel Agent

Main responsibilities:

• Receive and review MICE and group inquiries from agents or clients.

• Prepare detailed quotations based on client requirements and budget.

• Request and negotiate rates with hotels, villas, restaurants, transportation providers, attractions, and other vendors.

• Calculate package costs, including accommodation, meals, transportation, tours, activities, meeting rooms, and other services.

• Prepare quotation proposals and send them to agents or clients within the required timeline.

• Coordinate with the Reservation, Operations, and Finance teams regarding availability, costing, and payment terms.

• Follow up on quotations and provide revisions when required.

• Ensure all rates, inclusions, exclusions, and terms are accurate before sending the quotation.

• Maintain and update the database of hotel rates, vendor rates, and MICE packages.

• Support the preparation of group itineraries, event programs, and proposals.

• Assist with site inspections and coordination for confirmed MICE or group bookings.

• Monitor quotation status and maintain proper documentation and records.

• Build and maintain good relationships with hotels, vendors, and travel agents.

• Provide support during the handover of confirmed bookings to the Operations team.

Key skills required:

• Good communication and negotiation skills.

• Strong attention to detail and accuracy.

• Good knowledge of Bali hotels, attractions, transportation, and tourism products.

• Able to calculate costs and prepare competitive quotations.

• Proficient in Microsoft Excel, Word, and email communication.

• Able to work under deadlines and handle multiple group requests.

• Good English communication skills, both written and spoken.
