We are seeking a responsible, detail-oriented, and organized Admin Executive to support the daily administrative operations of the company. This role is responsible for office administration, document management, company asset coordination, and general administrative support to ensure smooth business operations. The role also involves coordinating office facilities, company events, travel and accommodation arrangements, maintaining proper company records and documentation, and providing administrative support to management as required.
Key Responsibilities
Administration
Manage daily office administrative functions and ensure smooth office operations.
Maintain proper filing systems for company documents, contracts, records, and administrative databases.
Handle incoming and outgoing correspondence, emails, courier arrangements, and general office communication.
Manage office supplies, stationery, pantry items, company assets, and procurement requests.
Coordinate office maintenance, repairs, renovations, and facility-related matters.
Liaise with landlords, and building management.
Coordinate travel, accommodation, transportation, and other administrative arrangements for staff and management.
Assist in organizing company meetings, events, staff activities, training sessions, and other internal programs.
Prepare letters, reports, presentations, and other administrative documentation.
Provide administrative support to management and assist with ad-hoc tasks and special projects as assigned.
HR Administration
Assist in recruitment activities, including job postings, candidate sourcing, interview scheduling, and candidate coordination.
Prepare onboarding documents and coordinate new employee onboarding processes.
Assist in employee confirmation, contract renewal, resignation, and offboarding processes.
Monitor and maintain employee attendance, leave records, and HR documentation.
Maintain and update employee personal files and records accurately.
Coordinate staff training programs and maintain training records.
Assist in preparing HR-related reports, letters, and documentation.
Support employee engagement activities and general HR administrative functions.
Requirements
Diploma or Bachelor's Degree in Business Administration, Human Resource Management, or related field.
Minimum 1–3 years of experience in administration or HR administration.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Good organizational and time management skills.
Good communication and interpersonal skills.
Able to maintain confidentiality and handle sensitive information professionally.
Detail-oriented, responsible, and able to work independently.
