Business Analyst (Web/AI)

About the Role

We're looking for a Business Analyst to turn client thinking into builds our team can execute. This is the role at the very front of every project. Working alongside our MD, you'll be in the room for discovery on custom web applications and AI systems, getting to the bottom of what a client is actually trying to achieve, how their business runs and where their data lives.

You won't be writing code, and you won't be running delivery once a project is scoped (our Project Managers own the build from there). But everything downstream rests on the quality of what you produce. You'll write the SOWs, specifications, cost estimates and open questions documents, and break the work into clear, dev-ready tickets a developer can pick up without having to guess what the client meant. You'll think about how data moves between systems, where a headless CMS fits versus a custom web application, and when a vector database genuinely earns its place in an AI feature and when it doesn't.

Just as importantly, you'll bring the judgement to spot what's worth building and what isn't, and feed that back into the room. We run true partnerships with our clients, with projects evolving over many years, so scoping it right at the start protects everyone. We're after someone who's scoped real software before, custom web applications and AI systems, not just websites or CMS templates, and gets how the pieces fit together.

Must Haves

• Scoping and Requirements: You've scoped custom web application or software builds before, taking a client from a rough brief to a clear, structured set of requirements. You know the difference between what a client asks for and what they actually need.

• Documentation: You write clearly and precisely. You can produce SOWs, functional specifications, cost estimates, test documents and open questions documents that leave no room for ambiguity, and you care that line items reconcile and nothing contradicts itself.

• Ticket-Ready Output: Comfortable breaking a scoped project into dev-ready tickets a developer can act on without a follow-up conversation, and handing them cleanly to a Project Manager for delivery.

• Technical Literacy (Conceptual): You can discuss APIs, databases, CMS and headless architecture, web applications, AI and vector databases at a conceptual level. You don't need to build them, but you understand what they are, when each is the right tool, and how data flows between systems. Awareness of modern stacks (Next.js, Nuxt.js, Storyblok, microservices) is a plus.

• Comfortable in Discovery: You can sit in a client discovery session alongside our MD or Project Managers, ask the right questions, draw out what they're really trying to do, and connect the dots across their systems and data. You'll help lead the commercial conversation. Your focus is understanding the problem well enough to scope it properly.

• Commercial Judgement: You can weigh up whether a feature or integration is worth building, and you're confident flagging "yes, that makes sense" or "there's no real return there" and explaining why.

• AI Native: Comfortable using AI tools like Claude, ChatGPT and similar platforms day to day to accelerate scoping, draft documentation, analyse problems and solve them. Our scoping pipeline is genuinely AI-assisted, so this is core to the role rather than a nice-to-have, and we want someone keen to push it further.

• Attention to Detail: A keen eye for detail and internal consistency. The kind of person who notices when the line items don't sum to the total.

• Organisational Skills: Strong organisational skills to manage multiple scoping jobs and competing priorities, keeping a defined pipeline moving.

• Task Management Tools: Familiarity with ClickUp is a plus, but not mandatory. Being adaptable to similar tools is what matters.

You'll be based at our Melbourne CBD office with a hybrid model, working on genuinely complex custom builds rather than templated websites.
