Position Summary

The Administrative Assistant is responsible for supporting the day-to-day administrative operations of the Bangkok office and helping ensure an efficient, organized, and welcoming workplace. This role serves as the primary point of coordination for office administration, facilities, purchasing, travel arrangements, company records, and general administrative support across all departments.

The ideal candidate is organized, proactive, detail-oriented, and enjoys supporting a collaborative team environment in a growing international company.

Key Responsibilities

Office Administration

  • Oversee the daily administrative operations of the Bangkok office.

  • Maintain office supplies, equipment, pantry inventory, and general office facilities.

  • Coordinate office maintenance, cleaning services, repairs, and vendor relationships.

  • Manage incoming mail, courier services, deliveries, and reception of visitors.

  • Coordinate meeting rooms, office events, and company activities.

Administration & Coordination

  • Prepare letters, reports, presentations, and general business correspondence.

  • Maintain organized electronic and physical filing systems.

  • Assist with company records, contracts, and administrative documentation.

  • Coordinate company calendars, meetings, and conference room scheduling.

  • Support internal communications and company-wide announcements.

Finance & Purchasing Support

  • Coordinate office purchasing and supplier orders.

  • Process invoices, receipts, and administrative expense documentation.

  • Liaise with external accounting providers as required.

  • Assist with monthly administrative reporting and document organization.

General Support

  • Help maintain a safe, organized, and professional office environment.

  • Support cross-functional teams with administrative requirements.

  • Assist with special projects and other duties as assigned.

Qualifications

  • Bachelor's degree in Business Administration or a related discipline preferred.

  • 2–5 years of administrative or office administration experience.

  • Strong organizational and multitasking skills.

  • Excellent communication skills in English and Thai.

  • Proficiency in Microsoft Office.

  • High level of accuracy, discretion, and attention to detail.

  • Positive attitude with a willingness to support a growing team.
