Position Overview:
The Office Administrator is a vital member of the administrative team, responsible for ensuring the smooth and efficient operation of the office environment. They provide support to both internal staff and external clients, handling a wide range of administrative tasks to maintain productivity and organization within the office.
Responsibilities:
Job Responsibilities
Update Google Calendar. You will update the calendar daily as the events come in, 45-55 events a month
Send out Employee Schedule 5-6 employees, (30 min a week)
Send Event fees via Zelle. Needs to be sent by the end of each day
Input sales numbers into a Portal for certain events
Off the Grid, Spark, City Flavor are the 3 sign in portals
Request/Send COIs (15 request x 1 min = 15 min a month)
Request from State Farm, forward COI back to client via email
Fill out Vendor Forms for requesting clients (25 min a month
One page form to fill out for requesting clients
Complete Applications. County Health Permits, Yearly Business Licenses
Create and Update Excel sheets daily
Cash Sales and Employee Tips (45 min a month)
Paid/Unpaid events (30 min a month)
Send Invoices for requesting clients (2-3 a month, 30 min)
Send Event/Shift details to Employee group chat (2 hours a month)
Every morning, send the Menu for the event, quantities,
Small Projects/Miscellaneous Tasks
Example: Create a Doc for Dietary and Allergy facts
Run Social Media Accounts
Instagram, FaceBook, TikTok
Ensure all event inquiries are directed to the Event Form on the website
Create one Post every three days (approval required before posts)
Handle Inbound/Outbound Calls for Metro Cab
5-20 calls average per shift
Obtain Customer Name, Date/Time, Pickup and Drop Off locations \
Provide Cab Fare estimate
Relay info to the driver
Provide the address, passenger count, and any additional details needed
Make Outbound calls to Taxi Drivers
Charge Credit Card
Drivers will provide customers with credit card numbers which you will charge via an App
Qualifications:
2-3 Work experience as an Office Admin
2-3 Experience working with Social Media
Proficient in the English Language both written and verbal
Payment Posting experience
Experience working with Microsoft Office
Good time management
Works as a team player
Ability to work Independently
