We are seeking a highly organized, proactive, and emotionally intelligent Executive Assistant to the CEO. In this role, you will provide high-level, comprehensive administrative and strategic support in a one-on-one working relationship. As the primary point of contact for internal and external stakeholders, you will safeguard the CEO’s time, streamline information flow, and oversee special projects to help scale the business.
Key Responsibilities
Calendar & Schedule Management
- Optimize complex calendars to balance strategic meetings, deep-work blocks, and personal commitments.
- Reschedule appointments diplomatically to resolve conflicts and accommodate shifting priorities.
- Gatekeep executive time ruthlessly to minimize distractions and interruptions.
Communication & Stakeholder Relations
- Manage the CEO’s inbox by sorting, flagging, and archiving high-volume correspondence.
- Draft professional communications, memos, slide decks, and reports on behalf of the CEO.
- Act as primary liaison between the CEO, board members, investors, clients, and internal teams.
Travel & Event Logistics
- Coordinate end-to-end travel, including flights, VIP lodging, ground transit, and visas.
- Build meticulous itineraries factoring in time zones, rest periods, and prep time.
- Plan high-level corporate events, board meetings, leadership retreats, and off-sites.
Operations & Project Coordination
- Build and optimize workflows using modern tools like project management platforms and AI automations.
- Track project deliverables across departments to hold team members accountable to the CEO’s goals.
- Process expense reports and compile financial data or budgets for senior leadership.
- Maintain an "Executive Bible" of the CEO's preferences, digital files, passwords, and standard operating procedures.
