The Receptionist and Office Support Assistant provides reception, administrative, and office support services to ensure the smooth and efficient operation of the Embassy. The incumbent assists visitors, prepares refreshments, maintains office cleanliness and organization, and supports daily administrative and logistical functions. Key Duties and Responsibilities

Key:

  1. Welcome visitors and direct them to the appropriate office or staff member.

  2. Answer and transfer telephone calls and take messages as required.

  3. Receive and distribute mail, documents, and deliveries.

  4. Prepare and serve tea, coffee, water, and other refreshments for Embassy staff, visitors, and official guests.

  5. Assist in setting up meeting rooms for meetings and official events.

  6. Maintain cleanliness and tidiness of reception areas, meeting rooms, offices, kitchenettes, and other designated Embassy areas.

  7. Ensure that pantry supplies, refreshments, and cleaning materials are adequately stocked.

  8. Wash and store cups, glasses, and kitchen utensils after use.

  9. Dispose of waste and ensure proper hygiene standards are maintained.

  10. Report any maintenance or supply needs to the Administrative Officer.

  11. Perform other office support duties as assigned by the supervisor.

Qualifications

  1. High School, Diploma or Equivalent.

  2. Relevant experience in reception, office administration, hospitality, office support services is desirable.

  3. Basic knowledge of petty cash management, record-keeping, and inventory control.

  4. Proficiency in Microsoft Office applications (Word, Excel, and Outlook).

  5. Good command of spoken and written English.

  6. Strong organizational and interpersonal skills.

  7. Ability to maintain confidentiality and work with professionalism and integrity.

  8. Ability to work independently and as part of a team in a multicultural environment.
