Job Summary
We are looking for a hands-on QMS Coordinator to support the company’s management systems, certification requirements, risk management activities, audits, and client compliance needs across Indonesia and Malaysia.
The role will coordinate the maintenance and renewal of ISO 9001, ISO 45001, and ISO 27001 certifications, working closely with internal teams and external certification bodies. The person will also support enterprise risk management, internal audits, client audits, and quality or certification-related requirements for client bidding and tender processes.
Key Responsibilities
ISO & Quality Management System
Coordinate the implementation, maintenance, and renewal of ISO 9001, ISO 45001, and ISO 27001 certifications for Indonesia and Malaysia.
Liaise with external certification bodies and coordinate certification, surveillance, and renewal audits.
Maintain and update policies, SOPs, work instructions, registers, and other controlled documents.
Monitor ISO requirements, corrective actions, non-conformities, and improvement plans.
Coordinate management review meetings and maintain supporting records.
Work closely with department owners to ensure required processes and evidence are properly maintained.
Audit & Compliance Support
Plan and coordinate internal audit activities.
Support internal auditors and follow up on audit findings and corrective actions.
Coordinate and support external certification audits.
Assist during client audits, compliance reviews, and due diligence exercises
Maintain audit records and track findings until closure.
Risk Management
Act as the company’s Risk Management Coordinator.
Coordinate periodic risk identification and assessment with relevant departments.
Maintain the corporate risk register and follow up on mitigation actions.
Prepare risk updates and reports for management review.
Client Bidding & Certification Requirements
Support tender and bidding processes involving ISO, quality, safety, information security, risk, and compliance requirements.
Prepare and provide required certifications, policies, audit evidence, and supporting documents.
Coordinate responses to client questionnaires and compliance requirements.
## Requirements
Bachelor’s Degree in Quality Management, Industrial Engineering, Occupational Health and Safety, Environmental Science, Business, or a related field.
Minimum 3 years of relevant experience in QMS, ISO management systems, compliance, audit, or related roles.
Hands-on experience with ISO certification, surveillance, or renewal audits.
Good working knowledge of:
* ISO 9001
* ISO 45001
* ISO 27001
* Internal Auditor training or certification for at least one relevant ISO standard is required.
Internal Auditor certification for multiple standards is preferred.
Experience in document control, internal audit, corrective action, and risk management.
Experience dealing with external certification bodies, client audits, or tender requirements is an advantage.
Strong coordination, documentation, and follow-up skills.
Able to work across departments and coordinate with teams in Indonesia and Malaysia (remotely).
Good written and spoken English and Bahasa Indonesia.
## Preferred Qualifications
Lead Auditor training or certification.
Experience managing an Integrated Management System (IMS).
Experience supporting ISO certification across more than one country.
Familiarity with risk registers, CAPA, root-cause analysis, and management review processes.
Experience in manpower outsourcing, HR services, recruitment, technology, or other service industries.
What We Are Looking For
We are looking for someone who is practical and hands-on, not only familiar with ISO requirements theoretically. The successful candidate should be able to independently coordinate documentation, audits, follow-up actions, certification bodies, and internal stakeholders to ensure the company remains audit-ready.
