CORE PURPOSE:
Arranging, maintaining, collecting and developing by performing administrative, documentation and controlling works that related to Procurement’s business process in order to ensure their day-to- day activities are delivered in a timely manner with minimum disruption and comply with organization’s procedures and policies.
MINIMUM REQUIREMENTS:
Essential:
Minimum Bachelor’s Degree in Business/Management, Engineering or any other relevant disciplines.
Minimum 2 years relevant experience in areas of procurement/supply chain management with demonstrated successful vendor/supplier relations exposure.
Honest, trustworthy and high integrity with in-depth understanding and ability to implement the Code of Conduct and Business Ethics during daily working with vendors.
Good written and verbal communication in English and strong interpersonal skills in order to effectively liaise with internal and external parties.
Good organisational skills, analytical skills and “Out-Of-The-Box” thinking in order to resolve issues.
Understand vendor management and basic contract management.
Good computer literacy, with advanced skills in Excel, PowerPoint and Google Suite.
Desirable:
Sufficient knowledge and practical skills in procurement process and a proven track record in procurement projects, including tender process or bids and requests for quotes as well as strong knowledge of the relevant Indonesian laws and regulations.
Ability to read and interpret Bills of Quantities (BoQ) and a solid understanding of Quantity Surveying (QS) management
Have a project background
Experience in the education industry, particularly in an international school setting.
Specialisation in procurement/purchasing or supply chain management.
Certified Procurement Specialist or Supply Chain Management Professional.
JOB FUNCTIONS:
This position’s duties and responsibilities, but are not exclusive to are as the following:
Procurement Operation and Management
To handle requisition assigned to her/ him and able to meet expectations as per stakeholder various requirements related to design, specification, timeline, quality etc.
To contribute to the business analysis and recommendations during the process of finding sources for stakeholder with the best price for BSJ’s interests.
To assist and collaborate with stakeholders, vendors and colleagues to follow up the goods receiving process until payment is completed of goods and services purchased.
Quick response and close monitoring for any issues and critical goods or services requests.
Contribute to the Strategic Team to identify items to be considered as blanket POs/ E-Catalogue/Contract.
Tender Activities
To assist the process of tender, development of RFP’s, identification of vendors to be solicited, evaluation of returned proposals, vendor selection and award of contracts to ensure fair and open competition.
To support User for the development of tender requirements and scope of work. The activity also includes market research, review to User technical requirement and specification from procurement aspects.
Actively supporting the tender committee for supplier qualification, tender document, and contract preparations.
Supporting the Procurement Department to review and evaluate bid proposals in accordance with the tender evaluation best practices (including preparation and structured negotiations) to achieve the tender objectives.
Ensure the solicitations, recommendations, and documentation of the Tender are in accordance with the applicable standards/procedures.
Other General Professional Duties
Actively promote and uphold all Safeguarding and Child Protection policies and responsible use of personal data in accordance with the relevant personal data protection policies and procedures within the school.
In liaison with the Line Managers, take responsibility for upholding Health, Safety and Environmental (HSE) practice within your own working area and be responsible for completing risk assessments/near misses as appropriate.
Undertake any other relevant duties as assigned by the Procurement Associate Manager and Head of Business & Operations.
