We are seeking a highly organized and personable Receptionist & Administrative Assistant to be the first point of contact for our office. This role combines front-desk responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Front Desk Management & Administrative Support
Greet and assist visitors, clients, and staff in a professional manner.
Answer, screen, and direct phone calls and emails.
Maintain a tidy and welcoming reception area.
Prepare, organize, and maintain office documents and records.
Schedule and coordinate meetings, appointments, and travel arrangements.
Assist with data entry, filing, and report preparation.
Support HR and finance teams with basic administrative tasks.
Financial & Vendor Coordination
Handle petty cash transactions and maintain accurate records.
Create payment vouchers for vendor invoices (e.g., building management, water supplier, electricity, and phone bills).
Coordinate with vendors and ensure timely payments.
Office Coordination
Manage office supplies inventory and place orders when necessary.
Liaise with vendors, service providers, and building management.
Ensure compliance with company policies and procedures.
Book flights and hotels for the business head team.
Provide logistical and administrative support for executive travel and meetings.
