We are seeking a highly organized and personable Receptionist & Administrative Assistant to be the first point of contact for our office. This role combines front-desk responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  • Front Desk Management & Administrative Support

    • Greet and assist visitors, clients, and staff in a professional manner.

    • Answer, screen, and direct phone calls and emails.

    • Maintain a tidy and welcoming reception area.

    • Prepare, organize, and maintain office documents and records.

    • Schedule and coordinate meetings, appointments, and travel arrangements.

    • Assist with data entry, filing, and report preparation.

    • Support HR and finance teams with basic administrative tasks.

  • Financial & Vendor Coordination

    • Handle petty cash transactions and maintain accurate records.

    • Create payment vouchers for vendor invoices (e.g., building management, water supplier, electricity, and phone bills).

    • Coordinate with vendors and ensure timely payments.

  • Office Coordination

    • Manage office supplies inventory and place orders when necessary.

    • Liaise with vendors, service providers, and building management.

    • Ensure compliance with company policies and procedures.

    • Book flights and hotels for the business head team.

    • Provide logistical and administrative support for executive travel and meetings.
