Job description:
Our Client is a growing Sydney-based remedial consultancy specialising in apartment remedial works.
They take a specialised approach to engineering and contract administration and combine technical excellence with a high-energy, boutique service model, dedicated to protecting and restoring the integrity of Sydney’s built environment.
They have their dedicated offshore support team and are looking for an organised, technically minded Project Coordinator based in the Philippines to streamline and maintain meticulous administrative control over their NSW projects.
Role & Responsibilities:
- Supporting the end-to-end tender process, including preparing and compiling tender packages and tracking contractor submissions.
- Assisting in the drafting and coordination of construction contracts in compliance with the NSW Home Building Act.
- Assisting with the processing of monthly contractor progress claims, preparing draft Payment Schedules/Claim Certificates, tracking invoices, and monitoring project budgets and contingency spending.
- Coordinating all necessary lodgements and compliance tasks, with a strong focus on tracking NSW DBP Act documentation and regulated workflows.
- Maintaining and updating project programs, tracking key project milestones, and proactively following up with internal and external stakeholders to prevent delays.
- Assisting with the Director’s email management and calendar scheduling, helping coordinate site inspections, organize client correspondence, and flag urgent inquiries.
- Acting as a reliable, professional remote point of contact for Strata Managers, builders, and residential committees to coordinate scheduling, site access, and data requests.
- Reviewing and organizing incoming contractor insurances, safety documentation (SWMS), and quality records to ensure compliance and mitigate project risk.
- Attending and facilitating virtual project meetings, drafting professional agendas, preparing and distributing comprehensive meeting minutes to stakeholders.
- Providing essential administrative support for the project close-out and practical completion process.
Background & Requirements:
- 2–3+ years of proven experience in project coordination, contract administration, or engineering support roles within the building or construction engineering industries.
- Solid understanding of the construction lifecycle, project milestones, and administrative workflows.
- High level of proficiency in Microsoft Excel and Microsoft Office 365 (specifically Outlook email and calendar management).
- Experience with Bluebeam, AutoCAD, or construction management platforms is highly regarded.
- Degree or formal qualification in Civil/Structural Engineering, Construction Management, Architecture, or a related technical field.
- Exceptional verbal and written English communication skills, with the ability to confidently interface with Australian clients, engineers, and contractors.
- Meticulous organizational skills with a high level of attention to detail in document control and data entry.
- Must be able to work fixed Sydney business hours.
