About the role

PT Universal Energy Pratama is seeking a talented and organised Secretary to join our team in Jakarta on a full-time basis. This role is central to the smooth operation of our office, providing essential administrative and organisational support to senior management and various departments. As Secretary, you will be the backbone of our administrative operations, ensuring that all office functions run efficiently and professionally. Your role will be integral to maintaining the highest standards of organisation, communication, and support across the organisation.

What you'll be doing

  1. Managing executive calendars, scheduling meetings, and coordinating appointments for senior management

  2. Handling incoming and outgoing correspondence, including emails, letters, and phone calls with professionalism and discretion

  3. Preparing and formatting documents, reports, and presentations using appropriate software and tools

  4. Maintaining filing systems and databases to ensure accurate record-keeping and easy retrieval of information

  5. Organising and coordinating meetings, including venue arrangements, catering, and distribution of meeting materials

  6. Providing administrative support to multiple departments and ensuring seamless coordination between teams

  7. Managing office supplies and equipment, including ordering and inventory control

  8. Greeting visitors and clients, maintaining a professional front-office presence

  9. Assisting with travel arrangements and expense management for executives

  10. Supporting special projects and events as required

What we're looking for

  1. High school diploma or equivalent qualification; additional secretarial qualifications or certifications are advantageous

  2. Proven experience working as a Secretary or in a similar administrative support role, preferably in a corporate or professional environment

  3. Excellent organisational and time-management skills with the ability to prioritise multiple tasks effectively

  4. Strong written and verbal communication skills in English and Indonesian; additional language skills are a plus

  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software

  6. Advanced typing and data entry capabilities with high accuracy

  7. Professional demeanour with strong interpersonal skills and the ability to work well with individuals at all levels

  8. Discretion and confidentiality when handling sensitive information

  9. Ability to work independently and as part of a team in a fast-paced environment

  10. Attention to detail and commitment to maintaining high standards of accuracy
