Position Title: PMS Project Coordinator Department: Operations / Preventive Maintenance Services
Reports To: Operations Manager / PMS Supervisor
Role Overview
The PMS Project Coordinator is responsible for organizing, monitoring, and documenting all Preventive Maintenance Service (PMS) activities to ensure efficient operations and client satisfaction. This role involves close coordination with clients, PMS technicians, and other departments to ensure timely scheduling, accurate documentation, and smooth communication across all stages of maintenance projects.
Key Responsibilities
- Coordinate and monitor all PMS activities and schedules with clients.
- Serve as the primary point of contact for PMS-related client concerns, ensuring timely and professional communication.
- Handle documentation, record filing, proposal preparation, reporting, and budget requests related to PMS operations.
- Monitor and track all requests for proposals, spare parts, and callbacks, ensuring timely follow-up and completion.
- Schedule and coordinate the deployment of PMS technicians based on client needs and service timelines.
- Maintain accurate and updated records of service reports, client requests, and follow-ups.
- Facilitate coordination between PMS, warehouse, procurement, admin, and other departments for smooth workflow and resource allocation.
- Identify and escalate technical or service issues to management for immediate action and resolution.
- Recommend process and service improvements based on client feedback and operational performance.
- Support project and operations teams in preparing PMS-related proposals and documentation.
- Ensure compliance with company standards in all documentation and client communications.
- Perform other duties as may be assigned by management.
