About the role
We are seeking a talented, experienced and passionate in Tender Proposal Administrator to join a company located in South Jakarta. As Legal & Proposal Administrator, you will play a crucial role in the company's strategic growth by managing the tendering process for our diverse range of offshore services. This is a full-time position, offering the opportunity to work in a dynamic and collaborative environment.
What you'll be doing
Providing legal advice, researching, preparing and conducting legal documents.
Monitoring and Maintaining the Compliance and Completeness of the Company documents, licenses, etc.
Understanding in developing and implement effective proposal / tender strategies to win new business opportunities
Coordinate the tender preparation process, including gathering required information, writing compelling proposals, and ensuring timely submission
Liaise with cross-functional teams to gather accurate and up-to-date information for tenders
Conduct thorough research on target clients, their requirements, and the competitive landscape
Identify and address any potential risks or issues during the tendering process
Monitor and analyze proposal / tender results to continuously improve the company's tendering approach
Provide regular updates and reports on the status of ongoing tenders
Examine through incoming tenders and to note down tender details and gather tender information and references from various sources
Coordinate, plan and gather bid submission documents for tendering/bidding activities, Tender Questionnaires , Pre-qualifications and contract review
Proficiency in Research and Data Analysis to effectively gather information for proposals
Manage clients’ bid requirements within the various departments such as planning, QA/QC, HSE, Engineering, Crewing / Personnel etc., collate and compile all queries and requests for additional information for communication to Clients.
Collate tender information and references from various sources such as online, pass records which are needed for submission.
Support the Commercial Department in developing good relationships with active and prospective associates/customers.
Excellent verbal and written communication skills for professional interactions with clients and stakeholders
Ability to work independently and collaboratively in a deadline-driven environment
Monitor and ensure tender submission due dates are strictly adhered to, including the checking, binding, packing and preparation of outgoing submissions.
To ensure that tender submissions are standardized with Client's tender requirements.
Preparation of contract, project estimate and tender, monitoring estimates including Bills of Quantities.
Update Contract / Subcontract Agreement, Contract Validity, PO/ WO of the ongoing Project.
Keep monitoring the Company Licenses, incl. Certifications, etc.
What we're looking for
Minimum S1 from a reputable university (having legal background - would be advantage)
Minimum 1 years of experience in a similar tender or bid management role, preferably in the offshore Oil & Gas services industry or any relevant industry regulations and compliance requirements
Must be familiar with BPMIGAS Tender Procurement Process Familiarity with PTK 007, CVID Apps, etc.
Excellent written and verbal communication skills, with the ability to craft compelling and persuasive proposals. Excellent Command in English Language, both Speaking and Writing.
Strong research and analytical skills, with a keen eye for detail
Proficiency in MS Office suite, particularly Excel and PowerPoint
Ability to work collaboratively in a team environment and effectively manage multiple deadlines
Thorough understanding of contract administration and procurement processes
Driven, Honest, Committed, Responsible, Multitasked, hardworking, must be willing to work independently, and willing to work overtime.
