Originally based in Melbourne, Australia, we have successfully guided many students in their education journey. Now, we are expanding and opening job opportunities in Jakarta. We are looking for an Administrative Assistant to join our team and grow with Victory Consultancy.

Job Description:

  • Prepare and manage visa applications, including Skilled Visas (Subclass 189, 190, and 491), Expression of Interest (EOI), Visitor Visa, Temporary Graduate Visa (Subclass 485), and Partner Visa.

  • Review and verify client documents to ensure completeness and compliance with Department of Home Affairs requirements.

  • Input and maintain accurate client information in the ImmiAccount system and internal CRM/database.

  • Liaise with clients to collect outstanding documents and provide administrative support throughout the visa application process.

  • Draft and prepare visa-related forms, supporting documents, and application checklists.

  • Monitor application progress, visa deadlines, and client follow-ups.

  • Maintain accurate records of visa applications and client correspondence.

  • Verify the authenticity of supporting documents, including employment references, financial evidence, and identity documents.

  • Assist Registered Migration Agents with administrative tasks and application lodgements.

  • Respond to general client enquiries via phone, email, and messaging platforms regarding documentation and application progress.

  • Ensure all client files are organised, updated, and maintained in accordance with company procedures.

Requirements:

  • Bachelor’s degree in Administration, Business, or a related field (preferred but not required).

  • Fresh graduate are welcome to apply.

  • Strong proficiency in English (both written and spoken).

  • Willing to work from the Central Jakarta office (WFO).

  • Strong attention to detail and accuracy in data handling.

  • Good communication and interpersonal skills.

  • Proficiency in Microsoft Office and Outlook

  • Ability to multitask and work efficiently under deadlines.

  • Strong organisational and problem-solving skills.

  • Experience in administrative work or visa processing is a plus.

  • Ability to work independently and as part of a team.
