About the role

AG Logistics (Hong Kong) Company Limited is a global company who is seeking an experienced Operations professional to join our team in Surabaya, East Java. This is a full-time position that plays a crucial role in ensuring the smooth and efficient running of our freight and cargo forwarding operations. As an Operation specialist, you will be responsible for overseeing day-to-day logistics activities, managing shipments and maintaining the highest standards of service delivery. This role is essential to our mission of providing reliable and cost-effective logistics solutions to our clients across the region.

Working location: Surabaya

Key responsibilities
1.       Handle enquiry from customers and overseas agents/offices on shipment status, schedule and rate quotation efficiently and effectively

2.       Responsible for checking pre-alert document, ensuring accuracy and issue debit/credit notes to offices/overseas offices or agents accordingly

3.       Provide freight quotes to internal sales personnel and overseas office or agents in a timely manner.

4.       Responsible for proper filing of shipping documents and ensure that documents are filed in a timely manner

5.       Handle full set of import / export and transshipment documents. This includes but not limit to issuance of House Bill (HB/L), debit notes, credit notes, delivering order and preparing AMS.

6.       Send pre-alert advice within 7 days after shipment is sailed to overseas offices and agents enabling them to prepare for shipment arrival.

7.       Responsible for daily shipping activities including consolidation of container, Less than container load (LCL), Full Container Load (FCL) , booking of shipping space, release of Shipping Order to customers.

8.       Close follow up on US Janel nominated accounts ensuring shipments are in order and in accordance to shipment schedule.

9.       Work closely with Sales Department and Internal offices providing support and services on pricing, carrier space allocation, latest shipment schedule and customer complaints.

10.     Maintain good and effective working relationship with co-loaders & carrier to obtain space and good rates

  1. Any other projects or duties assigned from time to time

What we're looking for

Education:  Graduate in Secondary School / Preferably holder of Certificate in Logistics

Technical Skills:

  • Understanding of import and export rules and regulations including in US trade.

  • Good understanding of vessels and port operations

  • Good market sense on ocean freight pricing and cost

  • Knowledge of customs clearance procedures and local Indonesian regulations is highly desirable

  • Familiar with Air shipment experience will be an advantage also.

Industry experience:

  • Minimum 3 years of experience in ocean freight operations with hands on experience handling import, export and trans-shipment preferably to North America

Personal qualities:

  • Detailed oriented, strong organizational skills and able to meet deadlines

  • Strong customer services focus with a service attitude

  • A team player

  • Effective negotiation skills 

Technology skills:

  • Working knowledge of MS Office Suite

Language skills:

  • Fluent in English for both spoken and written. Prefer more than one languages.

Communication skills:

  • Good interpersonal skills and able to work with both internal and external customers

  • Establish good relationships with carriers and co-loaders
