Position Summary
The Executive Assistant provides administrative, coordination, and communication support to the Director General of the IT Department. The role supports day-to-day operations, manages schedules and meetings, prepares reports and presentations, and helps ensure timely completion of tasks and deliverables.
Key Responsibilities
- Manage the calendar, meetings, travel, and related logistics.
- Draft and prepare correspondence, speeches, briefing notes, and presentations.
- Organize meetings, prepare agendas and minutes, and track action items.
- Consolidate information from different teams into reports, dashboards, and status updates.
- Monitor deadlines and follow up on deliverables with relevant teams.
- Coordinate communication with IT Department divisions, other departments, and stakeholders.
- Maintain records, files, and documentation.
- Support workshops, events, and other departmental activities.
- Provide regular progress updates and perform other duties as assigned.
Skills and Competencies
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to prepare reports, presentations, and correspondence.
- Professional, detail-oriented, and able to handle confidential information.
- Able to work effectively in a multicultural environment.
Technical Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).
- Experience using collaboration and document management tools.
- Basic reporting and data tracking skills using Excel.
- Familiarity with Power BI, Power Platform, Canva, or AI productivity tools is an advantage.
Other Qualifications
- MBA or equivalent postgraduate degree from a recognized university.
- Strong academic background.
- Internship, volunteer, or work experience in administration, coordination, executive support, or IT-related environments is preferred.
