The Executive Assistant / Administrative Support Specialist is responsible for providing comprehensive support to executives and ensuring the smooth operation of the office. This role involves managing schedules, coordinating meetings, handling communications, and supporting various administrative tasks. The ideal candidate will be highly organized, detail-oriented, and able to work efficiently in a fast-paced environment

1. Executive Support:

  • Manage and maintain executives' schedules, including scheduling meetings, appointments, and travel arrangements.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Serve as a liaison between executives and internal/external stakeholders.

  • Coordinate and organize executive meetings, including preparing agendas and taking minutes.

2. Administrative Support:

  • Handle incoming calls, emails, and other communications, ensuring timely and appropriate responses.

  • Maintain and organize office files, records, and documentation.

  • Assist with the preparation and processing of expense reports and invoices.

  • Monitor office supplies and coordinate with vendors for procurement.

3. Office Coordination:

  • Assist in organizing company events, meetings, and conferences.

  • Support the onboarding process for new hires, including preparing workstations and coordinating orientation schedules.

  • Manage office logistics and ensure a professional and welcoming environment.

  • Coordinate with IT and facilities teams to address any office-related issues.

4. Project Support:

  • Assist with special projects and initiatives as needed, providing research, data analysis, and administrative support.

  • Collaborate with team members across departments to facilitate project completion.


Requirements:

  • Bachelor’s degree or equivalent experience in Business Administration, Office Management, or a related field.

  • Have at least 2 years of experience as an executive assistant, administrative assistant, or in a similar role.

  • Excellent organizational and time-management skills.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to handle sensitive information with discretion and maintain confidentiality.

  • Strong problem-solving abilities and attention to detail.

  • Ability to multitask and prioritize tasks effectively in a dynamic environment.
