Job Descriptions :
- Monitor and manage administrative scheduling of patients with doctors, and coordinate with nurses, laboratories, and between Indo Dental Center clinic branches (ensuring availability of patient status and records, equipment, and laboratory work).
- Monitor patient registration one day prior to the appointment (H-1) in the Dental Application (DA).
- Provide comprehensive patient administrative services and maintain good patient relationships, including preparing and explaining treatment plans, insurance processes, patient data filing, informed consent, medical history documentation, home care instructions, patient follow-up, and recall activities.
- Monitor patient payment transactions, daily financial settlements, treatment deposits, and patient accounts receivable collection processes.
- Monitor daily sales reports and prepare invoices for each patient treatment.
- Monitor insurance payment processes and ensure completion of document checklists required for submission to related insurance providers.
- Monitor daily patient reports recorded in the Google Drive file “FOLLOW UP LIST” to track schedules for continued treatment and patient recall.
- Monitor new patient reports.
- Ensure all doctors and nurses input remarks into the Dental Application (DA), including:
• Recommended next treatment plan.
• Estimated duration of the next treatment.
• Scheduled timing for the next treatment.
• Whether the patient will be referred to another doctor for continued treatment. - Perform upselling activities by explaining required treatments and responding to patient inquiries regarding services.
- Prepare patient complaint reports received through various communication channels and monitor follow-up actions with the Front Office division.
- Develop patient recall work plans based on existing patient databases in accordance with established targets.
- Monitor and supervise the patient after-treatment checklist, including:
• Schedule of the next treatment (properly documented)
• Estimated duration of the next treatment
• Type of follow-up treatment required
• Assigned doctor for the next treatment
• Preparation required for treatment (laboratory work, implants, etc.) - Provide training to the Front Office team regarding procedures and customer service approaches, and support the team in handling patient complaints.
- Carry out all policies, instructions, responsibilities, and directives established by management in the future.
- Supervise the operational flow from Front Office until patients enter the treatment room and are handled by the nursing team.
Qualifications :
- Minimum S1 (Bachelor Degree) Public Relation or equivalent.
- Minimum 2 year experience ( Preferably in the same field : aesthetic clinic / dental clinic).
- Fluent in Mandarin & English is a must.
- Basic computer and math knowledge.
- Good on handling administration and cashier.
- Neat and outgoing personality.
- Ability to handle transactions accurately and responsibly.
- Willing to work overtime.
- Will be place in Senayan (South Jakarta).
