Job Summary
The Operations & Customer Service Executive (Export) is responsible for managing end-to-end export order processing, coordinating shipment arrangements, and ensuring smooth communication with customers, suppliers, and logistics partners. This role plays a key part in ensuring timely delivery, accurate documentation, and high levels of customer satisfaction for international trade operations.
Key Responsibilities
1. Export Operations Management
Handle end-to-end export order processing from sales confirmation to shipment delivery.
Prepare and manage export documentation such as Sales Orders, Invoices, Packing Lists, Bill of Lading instructions, and Certificate of Origin (if required).
Coordinate with warehouse, freight forwarders, and shipping lines to ensure timely shipment arrangement.
Monitor shipment schedules and proactively resolve delays or issues.
Ensure compliance with export regulations and company procedures.
2. Customer Service & Communication
Act as the main point of contact for overseas customers regarding order status, shipment updates, and documentation.
Respond to customer inquiries in a timely and professional manner.
Handle complaints or issues and provide effective solutions to maintain customer satisfaction.
Maintain strong relationships with customers to support long-term business partnerships.
3. Coordination & Internal Support
Work closely with sales, finance, and teams to ensure smooth order execution.
Liaise with suppliers and freight forwarders for pricing, scheduling, and shipment tracking.
Support sales team with order updates and customer requirements.
4. Documentation & System Management
Maintain accurate records of all export transactions.
Update systems with order status and shipment details.
Ensure proper filing of shipping and customer documents for audit and compliance purposes.
Requirements
Diploma or Degree in Business, Supply Chain, Logistics, or related field.
1–3 years experience in export operations, logistics, or customer service (international trade preferred).
Knowledge of export documentation and Incoterms (FOB, CIF, CFR).
Strong communication skills in English; additional languages are an advantage.
Good attention to detail and ability to manage multiple tasks under tight deadlines.
Proficient in Microsoft Office (Excel, Word, Outlook); LC experience is a plus.
