The Compliance Associate is responsible for managing the timely renewal of business permits, licenses, and government statutory requirements to ensure uninterrupted business operations and full regulatory compliance. The role coordinates with government agencies, landlords, and internal departments while maintaining accurate compliance records and monitoring renewal schedules.


Key Responsibilities:

  • Process and monitor the timely renewal of all business permits, licenses, and registrations for stores and head office.
  • Prepare, compile, and submit documentary requirements to national and local government agencies.
  • Ensure compliance with statutory and regulatory requirements, including BIR, SEC (if applicable), DTI (if applicable), LGU Business Permits, Barangay Clearance, Mayor's Permit, Sanitary Permit, Fire Safety Inspection Certificate (FSIC), and other applicable permits.
  • Coordinate with government agencies, landlords, and third-party providers regarding permit processing and compliance requirements.
  • Maintain an updated database and tracker of permits, licenses, statutory registrations, and their expiration dates.
  • Monitor regulatory changes and ensure timely implementation of new compliance requirements.
  • Coordinate with Finance, Legal, Operations, IT, and other departments to obtain supporting documents for permit applications and renewals.
  • Monitor payment schedules for permit fees, taxes, and other statutory obligations.
  • Monitor and track POS units for retirement, pull-out, validation, replacement, and disposal processes, ensuring accurate documentation, proper asset accountability, and compliance with company policies.
  • Coordinate with the IT and Operations teams to ensure timely processing and documentation of POS asset movements.
  • Maintain records of POS asset status and prepare reports related to POS retirement and validation activities.
  • Prepare compliance reports and provide regular updates on renewal status, pending applications, and compliance risks.
  • Maintain organized records of permits, licenses, government correspondence, and compliance documents for audit purposes.
  • Assist during internal and external compliance audits.
  • Perform other compliance-related duties as assigned.


Qualifications:

  • Bachelor's Degree in Business Administration, Legal Management, Public Administration, Accountancy, Information Technology, or a related field.
  • At least 1–2 years of experience in permits and licensing, government compliance, regulatory affairs, or retail compliance.
  • Experience in processing business permits for multi-branch operations is an advantage.
  • Knowledge of Philippine government regulations, business permit renewals, and statutory compliance requirements.
  • Familiarity with POS asset management or retail operations is an advantage.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Strong organizational, documentation, and coordination skills.
  • Excellent communication and interpersonal skills.
  • High attention to detail and ability to manage multiple deadlines.
  • Willing to travel to government offices and store locations as required.
