About the Role

A growing executive team is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support day-to-day operations, executive priorities, and member experience.

This role goes far beyond calendar management. You'll serve as a strategic operational partner, helping coordinate communications, manage projects, support exclusive events, optimize internal systems, and ensure everything runs efficiently behind the scenes.

Key Responsibilities

  • Manage executive calendars, scheduling, and meeting coordination.
  • Handle high-volume communications across email, Slack, and other collaboration platforms.
  • Coordinate meetings with founders, investors, partners, and community members.
  • Support planning and execution of exclusive events, including logistics, vendors, speakers, and attendee communications.
  • Maintain strong relationships through professional and timely communication.
  • Document workflows, operational processes, and internal playbooks.
  • Maintain and organize systems such as Notion, CRM platforms, and internal databases.
  • Improve operational efficiency by identifying opportunities for process optimization and automation.
  • Assist with project coordination, follow-ups, and execution across multiple initiatives.
  • Help implement scalable systems that enhance member experience and internal operations.
  • Explore and leverage AI tools and workflow automation solutions to improve productivity.

Required Qualifications

  • 3+ years of experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
  • Advanced English communication skills (written and verbal).
  • Exceptional organizational skills with outstanding attention to detail.
  • Strong project coordination and multitasking abilities.
  • Ability to manage multiple priorities with minimal supervision.
  • Professional communication skills and confidence interacting with senior executives.
  • Strong problem-solving mindset with a proactive approach.
  • High level of discretion when handling confidential information.
  • Comfortable working in a dynamic, fast-paced environment.

Preferred Qualifications

  • Experience supporting founders, executives, or startup leadership teams.
  • Familiarity with Notion, Airtable, CRM platforms, or project management tools.
  • Experience with workflow automation platforms such as Zapier, Make, or similar.
  • Exposure to AI tools, AI agents, or productivity automation.
  • Event planning or community operations experience.
  • Previous experience within startups, venture capital, entrepreneurship, or high-growth environments.
