About the role
PT Wira Energi is seeking a skilled and highly organised Personal Assistant (Mandarin) to join our team in West Jakarta. This is a full-time position that will be instrumental in supporting senior management and ensuring the smooth operation of our office. The successful candidate will be fluent in Mandarin, serving as a key liaison for our international communications and interactions. This role is essential to maintaining our company's efficiency and ensuring that our executives have the administrative support they need to focus on strategic initiatives.
Key responsibilities
Managing calendars, scheduling meetings and coordinating appointments for senior management
Providing comprehensive administrative support including correspondence, report preparation and document management
Acting as a liaison between executives and internal/external stakeholders, particularly those requiring Mandarin language communication
Translating and interpreting documents, emails and communications in Mandarin to facilitate business operations
Arranging travel plans, accommodation and logistics for business trips and international visits
Maintaining confidential files and records whilst ensuring information security protocols are adhered to
Coordinating meetings, conferences and company events with meticulous attention to detail
Managing expense reports and processing administrative documentation
Supporting the executive team with research and data compilation as required
Greeting visitors and managing reception duties with professionalism and courtesy
What we're looking for
Fluent in Mandarin Chinese (both written and spoken) with strong English language proficiency
Minimum 3-5 years of experience as a Personal Assistant, Executive Assistant or in a similar administrative support role
Excellent organisational and time management skills with the ability to manage multiple priorities effectively
Strong written and verbal communication abilities in both Mandarin and English
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook
Discretion and ability to handle confidential information with integrity
Professional demeanour with excellent interpersonal skills
Ability to work independently and as part of a team in a fast-paced environment
Experience in the energy or industrial sector is highly desirable
Attention to detail and commitment to delivering high-quality work
