Head of Finance & Accounting
Position Summary
The Head of Finance & Accounting is responsible for overseeing all financial operations of Hookah Habibi, ensuring accurate financial reporting, strong internal controls, budgeting, cash flow management, taxation, compliance, payroll, and business profitability.
This role will work closely with management to provide strategic financial insights while ensuring all financial activities comply with Indonesian accounting standards and government regulations.
Key Responsibilities
1. Financial Management
Lead and manage the entire finance and accounting department.
Prepare monthly, quarterly and annual financial statements.
Ensure accuracy of Profit & Loss, Balance Sheet and Cash Flow reports.
Monitor business profitability across all branches.
Analyse financial performance and recommend improvements.
2. Budgeting & Forecasting
Prepare annual operating budgets.
Monitor actual performance against budgets.
Forecast revenue, expenses and cash requirements.
Recommend cost-saving initiatives.
3. Cash Flow Management
Monitor daily cash positions.
Manage working capital.
Ensure sufficient liquidity.
Approve payment schedules.
Forecast future cash flow requirements.
4. Accounting Operations
Oversee:
Accounts Payable
Accounts Receivable
General Ledger
Bank Reconciliation
Journal Entries
Fixed Assets
Inventory Valuation
Cost Accounting
Ensure all transactions are accurately recorded.
5. Internal Controls
Develop and maintain strong financial controls including:
Cash handling procedures
Expense approvals
Purchase approvals
Inventory controls
Asset management
Fraud prevention
Segregation of duties
Conduct regular internal audits.
6. Taxation & Compliance
Responsible for:
Corporate Tax
VAT (PPN)
Withholding Tax
Payroll Tax (PPh 21)
Annual Tax Returns
Monthly Tax Reporting
Ensure full compliance with Indonesian tax regulations.
Liaise with external tax consultants when required.
7. Payroll
Oversee payroll processing ensuring:
Salary accuracy
Overtime calculations
BPJS
Tax deductions
Bonuses
Leave balances
8. Inventory & Cost Control
Monitor:
Food Cost
Beverage Cost
Shisha Cost
Wastage
Stock Variances
Implement systems to minimise inventory loss.
9. Financial Analysis
Provide management with:
Sales Analysis
Branch Performance
Cost Analysis
Profitability Reports
KPI Reports
Margin Analysis
Return on Investment (ROI)
Support strategic business decisions with financial insights.
10. Banking & Treasury
Maintain relationships with:
Banks
Auditors
Tax Authorities
Government Agencies
External Consultants
Manage:
Bank facilities
Loan repayments
Bank reconciliations
Foreign currency transactions (if applicable)
11. Audit
Coordinate:
Internal Audits
External Audits
Financial Reviews
Compliance Audits
Ensure all audit recommendations are implemented.
12. Team Leadership
Lead the finance department.
Train and mentor finance staff.
Set KPIs.
Conduct performance reviews.
Develop Standard Operating Procedures (SOPs).
Key Performance Indicators (KPIs)
Monthly financial reports submitted by the 5th working day.
100% compliance with tax lodgements.
Cash flow forecast accuracy above 95%.
Inventory variance below 1%.
Zero unexplained cash shortages.
Payroll processed accurately and on time.
Budget variance maintained within approved limits.
Successful completion of internal and external audits.
Reduction in unnecessary operating costs.
Timely collection of receivables and management of payables.
Required Qualifications
Bachelor's Degree in Accounting, Finance, or a related field.
CPA, CA, or equivalent professional qualification is preferred.
Minimum 5 years of experience in finance management.
At least 3 years in a leadership role.
Experience in hospitality, restaurants, cafés, or multi-branch operations is highly preferred.
Strong knowledge of Indonesian Financial Accounting Standards (PSAK), taxation, and labour regulations.
Technical Skills
Advanced Microsoft Excel.
Accounting software (Accurate, Jurnal, SAP, Xero, or equivalent).
Financial modelling and forecasting.
Budget preparation.
Inventory costing.
Tax reporting.
Payroll systems.
Data analysis and dashboard reporting.

Authority
The Head of Finance & Accounting has authority to:
Approve finance-related transactions within delegated limits.
Recommend cost optimisation initiatives.
Establish and enforce financial policies and controls.
Coordinate with external auditors, banks, and tax consultants.
Supervise and evaluate finance department staff.
Escalate significant financial risks or irregularities directly to the Managing Director and Owners.
