Some of your duties will include:
Assist manager/ executive in providing accurate, timely and good quality administrative support services of the department.
Establish filing system and procedure, prepare file, file and retrieve documents and carry out periodic records audits.
Organize and maintain work schedule. Create a long-term schedule for the manager/ executive; Organize meeting appointment. Ensure that the executive attends all important meetings; Organize plan events; Provide reception services and handle phone calls; Make travel arrangements on behalf of the manager/ executive.
Undertake a variety of clerical functions such as set up filing system, typing, recording and handling incoming/outgoing correspondence.
Performing copying, collating, binding, packaging etc. and disseminates routine and other documents are requested by department personnel including messenger and or mail.
To regularly update certain reports for the manager/ executive.
Conduct any research the executive needs.
Problem solves any issues that the manager/ executive requests.
Communicate between the manager/ executive and employees; Distribute orders and acknowledgement to department staff.
Administer department's PPE entitlement, maintain office supplies inventory, leave application and maintain record.
Other duties as assigned.
What skills and experience do you need?
Tertiary degree from reputable university in business administration or relevant field
Prior project administrative and secretarial work experience with minimum 5 years of professional experience;
Good in Business and Administration Skill: Top of the line organizational skills, Ability to maintain an accurate calendar, Great planning abilities, Ability to follow confidentiality guidelines, Ability to make travel plans.
English Language - Advance Level (Writing Skill, Grammar TOEFL, English for Business)
Computer Skill-Special Program to support the jobs (Contract on Line, SDMS - General Skill for Engineering Documentation System; Able to work with Ms. Offices : Word, Excel, Power point.
Excellent communication skills in English both verbal and written.
