Key Responsibilities
- Requisition Processing: Receive, track, and process digital Purchase Orders submitted via internal Google Forms from the Reception, Cafeteria, and Pro Shop teams across all clubs using a strict first-order-first-serve operational matrix.
- Approval Gatekeeping: Review incoming orders and coordinate directly with Department Heads or Facility Supervisors to secure strategic corporate authorization before transmitting official orders to approved suppliers.
- Delivery Auditing & Quality Control: Perform active on-site verification when goods are delivered. Thoroughly match physical items against original Purchase Orders or invoices, checking names, exact quantities, structural packaging integrity, and expiry dates before signing supplier documents.
- POS & Inventory Database Management: Input all verified inventory details accurately into the Olsera POS System, ensuring tracking fields are turned on and complete metadata (item name, categories, brand, description, pictures, buying price, and selling price) is saved.
- Monthly Stock Opnames: Partner with branch Reception/Front Desk teams to lead full physical inventory counts and stock opnames on the 1st or 2nd of every month to prevent stock discrepancies, waste, or spoilage.
- Financial & Vendor Compliance: Handle reject reporting, document invoice inconsistencies, and compile receipt data to assist the Head of Purchasing and Finance Team in smooth accounts payable reconciliations.
Job Requirements & Qualifications
- Education: Minimum Diploma (D3) or Bachelor's Degree (S1) in Finance, Accounting, Logistics, Supply Chain, or related fields.
- Experience: 1–2 years of experience in procurement, storage logistics, or retail purchasing. Experience in hospitality or sports management is heavily favored.
- Technical Proficiency: Advanced skills in Google Sheets/Forms, cloud file structures, and direct experience using inventory modules within POS software (direct experience with Olsera POS is a major plus).
