About the role

We are seeking a detail-oriented and organised Preschool Admin Officer to join our team at Mighty Minds Preschool in Jakarta Raya. This is a full-time position that plays a crucial operational role in supporting the smooth running of our preschool facility. As Preschool Admin Officer, you will be the backbone of our administrative operations, ensuring that all office functions, record-keeping and administrative processes are managed efficiently and professionally. This role is essential to maintaining our high standards of service delivery and ensuring that our educators can focus on what they do best—teaching and caring for our students.

Key responsibilities

  1. Managing student registration, enrolment records and maintaining accurate and confidential student files in accordance with data protection regulations

  2. Processing and organising administrative documentation including admission forms, consent forms, emergency contact information and medical records

  3. Handling parent and staff communications via email, telephone and in-person, providing prompt and professional responses to inquiries

  4. Managing the school calendar, scheduling parent-teacher meetings, events and staff meetings using appropriate scheduling systems

  5. Assisting with invoicing, fee collection, receipt management and maintaining accurate financial records

  6. Preparing and maintaining administrative reports and documentation as required by management

  7. Ordering and managing office supplies, educational materials and general inventory

  8. Supporting the coordination of school events, open days and community activities

  9. Providing general office support to the school management team and administrative staff

  10. Ensuring the reception area is welcoming, organised and maintains professional standards


What we're looking for

  1. Proven experience as an administrative assistant, office administrator or similar administrative role, preferably in an educational setting such as a preschool, school or childcare facility

  2. Strong organisational and time management skills with the ability to manage multiple tasks and priorities simultaneously

  3. Excellent written and verbal communication skills in English and Indonesian (bilingual proficiency essential)

  4. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience with computer systems and office management software

  5. Exceptional attention to detail and accuracy, particularly when handling sensitive student information and records

  6. Customer service experience with a professional, friendly and helpful demeanour when interacting with parents and colleagues

  7. Knowledge of data protection and confidentiality requirements, particularly relating to child safety and student records

  8. Ability to work independently and as part of a collaborative team within a dynamic preschool environment

  9. Flexibility and willingness to adapt to the evolving needs of a growing educational institution
