Position: Project Management Officer (PMO)

Reports to: Founder & CEO

Purpose of the Role The Project Management Officer (PMO) is responsible for coordinating all operational aspects of projects within 8 Vice, ensuring smooth execution, effective communication, and timely follow-up across clients, partners, and internal teams.


Key Responsibilities

1.⁠ ⁠Project Coordination

•⁠  ⁠Menyusun timeline dan jadwal setiap proyek.

•⁠  ⁠Memastikan seluruh milestone proyek berjalan sesuai target.

•⁠  ⁠Mengoordinasikan kebutuhan internal maupun eksternal.

2.⁠ ⁠Calendar & Meeting Management

•⁠  ⁠Mengatur agenda Founder dan tim.

•⁠  ⁠Menjadwalkan meeting dengan klien, partner, dan stakeholder.

•⁠  ⁠Mengirim undangan dan memastikan kehadiran peserta.

3.⁠ ⁠Meeting Documentation

•⁠  ⁠Menyiapkan agenda rapat.

•⁠  ⁠Membuat notulen (minutes of meeting).

•⁠  ⁠Menyusun action items dan PIC.

•⁠  ⁠Mendistribusikan hasil rapat kepada seluruh pihak terkait.

4.⁠ ⁠Project Monitoring

•⁠  ⁠Melakukan monitoring progress setiap proyek.

•⁠  ⁠Menyusun weekly dan monthly project update.

•⁠  ⁠Mengidentifikasi potensi hambatan dan melakukan eskalasi kepada Founder.

5.⁠ ⁠Client Communication

•⁠  ⁠Menjadi penghubung utama antara klien, partner, dan tim internal.

•⁠  ⁠Menindaklanjuti hasil meeting.

•⁠  ⁠Menjaga komunikasi profesional dengan seluruh stakeholder.

6.⁠ ⁠Administrative Support

•⁠  ⁠Mengelola dokumen proyek.

•⁠  ⁠Mengarsipkan proposal, kontrak, MoU, invoice, dan laporan.

•⁠  ⁠Memastikan seluruh dokumen tersimpan dengan baik.

7.⁠ ⁠Training & Event Coordination

•⁠  ⁠Mengoordinasikan pelaksanaan training, workshop, dan business matching.

•⁠  ⁠Mengatur jadwal narasumber, peserta, venue, serta kebutuhan operasional lainnya.

8.⁠ ⁠Reporting

•⁠  ⁠Menyusun laporan perkembangan proyek.

•⁠  ⁠Membuat dashboard status proyek.

•⁠  ⁠Memberikan update rutin kepada Founder.

Qualifications

•⁠  ⁠Pendidikan minimal S1.

•⁠  ⁠Pengalaman 2–5 tahun di bidang Project Management, Business Operations, Executive Assistant, atau Consulting.

•⁠  ⁠Memiliki kemampuan komunikasi yang baik dalam Bahasa Indonesia dan Bahasa Inggris (Mandarin menjadi nilai tambah).

•⁠  ⁠Mampu mengelola banyak proyek secara bersamaan.

•⁠  ⁠Teliti, terorganisir, dan proaktif.

•⁠  ⁠Menguasai Microsoft Office, Google Workspace, serta tools manajemen proyek seperti Trello, Asana, ClickUp, atau Notion.
