Position: Property and Facilities Supervisor

Job Summary

The Property and Facilities Supervisor is responsible for managing, operating, and maintaining the Company's properties available for lease and those occupied by tenants. The position ensures that all properties are safe, functional, and well-maintained while delivering quality facilities services and protecting the Company's assets.

The Property and Facilities Supervisor supervises the Repair and Maintenance Team, coordinates with tenants, contractors, and service providers, oversees preventive and corrective maintenance, and ensures compliance with applicable safety and building regulations.

Key Duties and Responsibilities

Property Operations

· Manage the day-to-day operations of all Company-owned properties available for lease and tenant-occupied properties.

· Conduct regular inspections to ensure all buildings, warehouses, offices, common areas, and facilities are properly maintained and in good operating condition.

· Ensure vacant units are maintained in a clean, safe, and market-ready condition for prospective tenants.

· Coordinate the turnover and acceptance of leased premises before tenant occupancy and upon lease termination.

· Monitor the condition of Company properties and recommend repair, renovation, or capital improvement projects.

Facilities Maintenance

· Ensure prompt completion of corrective maintenance and repair requests.

· Oversee the maintenance of electrical, plumbing, FDAS, roofing, structural components, lighting, fire protection systems, and fire and booster pumps.

· Monitor maintenance schedules to minimize equipment downtime and operational disruptions.

Tenant Relations

· Serve as the primary point of contact for tenants regarding property maintenance and facility-related concerns.

· Ensure maintenance requests and service issues are addressed promptly and professionally.

· Coordinate repair schedules with tenants to minimize disruptions to their operations.

· Conduct periodic meetings and inspections with tenants to ensure service quality and identify improvement opportunities.

Repair and Maintenance Team Management

· Supervise, schedule, and evaluate the performance of the Company's Repair and Maintenance Team.

· Assign daily work activities and monitor completion of maintenance and repair tasks.

· Ensure compliance with quality standards, workplace safety policies, and Company procedures.

· Identify training and development needs of maintenance personnel.

Contractor and Vendor Management

· Review quotations and recommend contractors for Management approval.

· Monitor contractor performance to ensure quality work, timely completion, and compliance with project specifications.

· Verify completed work before endorsing contractor billings for payment.

Safety and Regulatory Compliance

· Ensure Company properties comply with applicable building, fire safety, environmental, and occupational safety regulations.

· Coordinate inspections, testing, and preventive servicing of fire protection systems and other critical building equipment.

· Support emergency preparedness, disaster response, and business continuity initiatives.

· Ensure required permits, certifications, and inspection records remain current.

Reports and Administration

· Prepare weekly and monthly reports on property conditions, maintenance accomplishments, equipment status, tenant concerns, and contractor performance.

· Maintain accurate records of inspections, repairs, maintenance schedules, and property improvements.

· Recommend policies and initiatives to improve property operations, maintenance efficiency, and tenant satisfaction.

· Perform other duties that may be assigned by Management.

Qualifications

· Bachelor's Degree in Civil Engineering, Mechanical Engineering, Electrical Engineering or a related field.

· At least three (3) to five (5) years of experience in property management, facilities management, building operations, or warehouse maintenance.

· Previous experience supervising maintenance personnel or contractors is preferred.

· Working knowledge of building systems, preventive maintenance, construction, and repair practices.

· Familiarity with occupational safety, fire safety, and building regulations.

· Strong leadership, planning, problem-solving, and project coordination skills.

· Excellent communication and interpersonal skills, with the ability to build positive relationships with tenants, contractors, and internal stakeholders.

· Proficient in Microsoft Office applications and maintenance record management.

Reporting Relationship

Reports directly to the AR and Finance Manager, or other designated Management representative.

Working Conditions

· Regular travel between Company properties and warehouses.

· Frequent property inspections and coordination meetings with tenants, contractors, and suppliers.

· May be required to respond to emergency maintenance issues outside regular working hours.

· Directly supervises the Company's Repair and Maintenance Team and coordinates the work of external contractors and service providers.
