a. Job Summary:
· To attend to all clerical functions in the managed property and to assist in the coordination of the different property management services and functions for the property owners/tenants.
Administrative Operations:
· Ensure that all documents are filed in an orderly manner consistent with standard filling system
· Ensure that all meetings are properly coordinated to avoid schedule conflicts. She is responsible for the reservation of common facilities of the property.
· Keep an updated record of all names, addresses, telephone numbers and other pertinent information regarding unit owners,/ tenants, contractors and other persons related to the property.
· Prepare all purchase requisitions, purchase orders and request for payments as well as to monitor delivery items requested as per purchasing guidelines of the property.
· Assist PM/PA in monitoring compliance with the Government requirements and remind the PM/PA of deadlines.
· Ensure that an adequate amount of office is on stock based on stock reorder level.
· Ensures that the assets of the property are accounted for through the use of the asset monitoring sheets.
· Assist the Pm/PA in ensuring that all customer calls and complaints are recorded and, if possible responded to within the delay.
