Role Purposes :
To support the Channel Specialist on administrative execution - including vendor payments (item-based incentives), internal cash transfers, WHT coordination for customer incentives, Kongsi system maintenance, and data support — to accelerate all processes under the Channel team and ensure accurate, compliant, and timely incentive administration.
Key Responsibilities:
• Administer incentive payments to vendors (item-based) and internal parties (cash transfer) per approved SKI packages
• Coordinate with Tax team for WHT advice and implementation on customer incentives; ensure proper documentation and application
• Manage Kongsi system: data entry, validation, troubleshooting, user support, and weekly sell-out reconciliation against SAP/OTC inputs
• Prepare SKI supporting documents and payment packages for approval with complete calculations, tax memos, and audit trail
• Track payment status, resolve discrepancies with customer, and escalate issues within SLA
• Maintain audit-ready documentation for all channel incentive transactions across 70+ distributors
• Liaise with Finance/Procurement for PO creation, payment processing, and settlement handoff
• Support Channel Specialist with ad-hoc reporting, data extraction, and analysis from Kongsi/SAP
• Log and track system tickets for Kongsi issues; coordinate with 3rd-party support for timely resolution
• Proactively identify process bottlenecks and propose small improvements to streamline payment or data workflows
Required Qualifications and Skills
• Bachelor's degree in Business, Accounting, Finance, or related field
• Minimum 2 years experience in admin, finance operations, or channel support (FMCG/agri-input preferred)
• Strong proficiency in Excel/LS (formulas, pivot tables, data validation)
• Experience with Kongsi, SAP, or similar order/sell-out systems (required or fast learner)
• Basic understanding of tax compliance (WHT/PPh 23) or willingness to be trained
• Strong attention to detail, integrity, and compliance mindset
• Fluent in English for documentation (written); verbal communication for internal coordination
• Ability to juggle multiple priorities in a fast-paced, cross-functional environment
